Integration Errors
Use this page when a customer reports an integration problem they can see in the product. This guide is organized around the symptom first, while still pointing to the exact Volv surfaces and labels that exist today.
Zoom setup (onboarding only)
These states come from the Zoom Integration Setup onboarding step. They do not describe the general Meetings or Settings experience after onboarding is complete.
Symptom: Waiting for team configuration stays on screen
Where to look
- Onboarding page: Zoom Integration Setup
- Visible labels: Waiting for team configuration, Check Again
What it means
- Volv has not yet detected
zapierConfiguredfor this workspace. - The user can continue only after setup is ready, or after they choose I don't use Zoom.
What to do
- Ask the customer to click Check Again.
- Confirm they are still in the onboarding flow, not on the Meetings page or Settings page.
- If they do not use Zoom, they can select I don't use Zoom and continue without Zoom.
What success looks like
- The waiting alert is replaced by Zoom integration is ready!
Escalate when
- The workspace should already be configured, but the onboarding step remains on Waiting for team configuration after retrying.
Symptom: Failed to check configuration status appears
Where to look
- Onboarding page: Zoom Integration Setup
- Visible labels: Failed to check configuration status, Check Again
What it means
- The onboarding step could not load the Zoom setup status from the backend.
What to do
- Ask the customer to click Check Again.
- Capture the error text shown under Failed to check configuration status.
- Retry once the page has fully reloaded.
Escalate when
- The same error keeps returning, especially if the customer can never reach Zoom integration is ready!.
Symptom: The user says Zoom was skipped by mistake
Where to look
- Onboarding page: Zoom Integration Setup
- Visible labels: Zoom integration skipped, I don't use Zoom
What it means
- The onboarding store is currently set to the opt-out path.
What to do
- Clear the I don't use Zoom checkbox.
- Re-check the Zoom setup state.
- If setup is complete, the page should move to Zoom integration is ready!.
Zoom usage after onboarding
Use this section when onboarding is already complete and the customer is working from the Meetings experience.
Symptom: A Zoom recording or meeting does not appear in Volv
Where to look
- Page tab: Meetings
- Filters panel: Activity Filters
- Filter labels: Zoom Meetings, Scheduled Meetings, Upcoming, AI Analyzing, Completed, Quality Issue
What to check first in Volv
- Open Meetings.
- Review Activity Filters.
- Make sure the customer did not narrow the list with:
- Zoom Meetings
- date range
- search
- call status filters such as Upcoming, AI Analyzing, Completed, or Quality Issue
What it usually means
- The item may be filtered out.
- The recording may still be processing before it shows up in the Meetings list.
- If it lands with a status like AI Analyzing or Quality Issue, the customer may need to wait or review that item instead of expecting it to look completed immediately.
What success looks like
- The meeting becomes visible in the Meetings list.
Escalate when
- The customer has checked filters, search, and date range, and the meeting still never appears.
Symptom: The meeting appears, but the customer expects transcript details or analysis
Where to look
- Page tabs: Meetings, Call Analytics
What to do
- Confirm they are on the correct tab.
- If they are looking for transcript-specific detail, move from Meetings to Call Analytics.
- If the item is still processing, it may show in the workflow before all analysis is ready.
Escalate when
- The customer can see the meeting, but transcript or analysis content never becomes available after reasonable processing time.
Provider connection problems in Settings
Symptom: The customer cannot open provider connection management
Where to look
- Settings → Integrations
- Card title: OAuth Provider Connections
- Button label: Manage OAuth Connections
What to do
- Have the customer open Settings.
- Go to Integrations.
- Click Manage OAuth Connections.
What success looks like
- The button state changes to OAuth Manager Open while the OAuth manager is open.
Escalate when
- Clicking Manage OAuth Connections does not open the manager.
Symptom: The product shows Failed to open OAuth manager
Where to look
- Settings → Integrations
- Visible error title: Failed to open OAuth manager
What it means
- Volv could not launch the OAuth management flow.
What to do
- Capture the exact error message shown in the destructive toast.
- Retry from Settings → Integrations.
- Include the provider the customer was trying to manage.
Escalate when
- The same error continues and the customer cannot open the OAuth manager at all.
