Zoom Integration Guide

This page explains the current Zoom experience in Volv Analytics. It stays Zoom-specific, but the setup steps below are based on the real onboarding flow that appears before the broader integrations step.

Overview

Zoom is used to bring meeting recordings and transcripts into Volv Analytics for downstream analysis and reporting. Today, the primary Zoom setup experience is the Zoom Setup step inside onboarding.

Before you begin

Make sure you have:

  • A Zoom account used for the meetings you want reflected in Volv Analytics.
  • Cloud recording enabled in Zoom, since local recordings are not synced.
  • A Volv Analytics account with access to onboarding.

Current setup flow: onboarding first

When you go through Volv onboarding, the Zoom Setup step appears before the more general Integrations step. That Zoom step is the main source of truth for current setup status.

What the Zoom step does

The page checks whether Volv's team-side Zoom routing has been configured for your workspace. The UI can show four visible states:

  1. Checking Zapier configuration status...
    A loading state while Volv checks setup status.
  2. Waiting for team configuration
    Your workspace is not ready yet. The page explains that Volv's team still needs to finish configuration and offers Check Again.
  3. Zoom integration is ready!
    The workspace-level setup check has passed and you can continue onboarding.
  4. Zoom integration skipped
    If you select I don't use Zoom, onboarding records that choice and lets you continue without Zoom.

If you use Zoom

During onboarding:

  1. Open the Zoom Setup step.
  2. Wait for the status check to complete.
  3. If you see Waiting for team configuration, use Check Again later after your team hears that setup is complete.
  4. Continue once you see Zoom integration is ready!

If you do not use Zoom

Select I don't use Zoom. The step changes to Zoom integration skipped, and you can continue onboarding while relying on your CRM-driven call workflow instead.

After onboarding

After onboarding, Zoom may also appear inside broader provider-management surfaces such as Settings > Integrations, where Volv exposes a general OAuth connection manager. Treat those areas as management surfaces, not as the primary description of today's Zoom onboarding flow.

For Zoom specifically, the safest current expectation is:

  • onboarding tells you whether the workspace is ready for Zoom,
  • later integration-management surfaces can be used to review provider connections,
  • and the exact post-setup controls may evolve as Volv expands the shared OAuth manager.

Checking whether Zoom is ready

The most reliable product signal is the onboarding status itself:

  • Zoom integration is ready! means the Zoom setup check passed for your workspace.
  • Waiting for team configuration means setup is not ready yet.
  • Zoom integration skipped means your workspace continued onboarding without Zoom.

Disconnecting or stopping use of Zoom

If you need to stop using Zoom with Volv Analytics, start in Settings > Integrations and review the available OAuth connection controls for your environment. Depending on how your workspace is configured, you may be able to disconnect or remove the Zoom connection there.

If you need Zoom-side revocation as well, your Zoom administrator can also review installed apps and authorized access in Zoom.

Because provider-management UX can change over time, avoid treating a specific button label, confirmation dialog, or redirect sequence as guaranteed unless you can see it in your environment.

Data handling

Volv Analytics only syncs cloud-recorded Zoom meetings. Local recordings are not accessed.
