Team Management
Use the Settings area to manage who can sign in, what role each user has, and which assignment controls are enabled for tracked users. This guide stays intentionally close to the current UI: it explains the admin concepts, but only through controls that are visibly available in Volv Analytics.
What you can manage today
From Settings, admin-facing team management is split across three areas:
- Users: add users, search and filter the user list, edit basic profile details, change a user's role, and remove a user.
- Roles: review roles, create custom roles, edit custom role details, and delete custom roles.
- User Assignments: set each listed user's Agent Role, toggle Writeback, and run Backfill when writeback is enabled.
User Management
The Users tab is the main place for account administration.
Add a user
- Go to Settings > Users.
- Click Add User.
- Enter the required fields:
- Username
- Password
- Role
- Optionally add:
- Full Name
- Email Address
- Click Create User.
The role is selected during user creation, so access setup starts as part of onboarding rather than in a separate permissions editor.

Monitor seats before adding people
At the top of the Users page, Volv shows current seat usage. When seat enforcement is active, the page shows used seats, remaining seats, and a progress bar.
If no seats remain, the Add User button is disabled. The visible removal action in the user list is Delete User, so plan seat recovery around removing unused accounts rather than a separate deactivate flow.
Review and update existing users
The Users page supports everyday admin cleanup with visible controls for:
- Search by name, email, username, or role
- Filter by role
- Edit User to change full name, email address, or assigned role
- Delete User from the actions menu when your access level allows it
Role Management
The Roles tab is for maintaining role definitions, not for editing a granular permission matrix.
What a role includes in the current UI
Each role record exposes these editable fields:
- Role Name
- Description
- Access Level Score (0–99)
The interface explains that higher scores have more access and that score 100 is reserved for admin. Use roles to define broad access tiers for your team, then assign those roles to users from the Users tab.
Manage roles
Go to Settings > Roles to:
- search the role list
- review role descriptions and scores
- Create Role for a custom role
- Edit Role for a custom role
- View Role for a system role
- Delete Role for a custom role
System roles are visible in the list but are protected in the UI: they can be viewed, not edited or deleted.

User Assignments
The User Assignments tab is a lightweight operational control surface. In the current UI, it does not expose a generic CRM-user-to-Volv-user mapping workflow.
What you can control
For each listed user, the table provides:
- Agent Role selection
- Writeback toggle
- Backfill action
How to use it
- Go to Settings > User Assignments.
- Review the user list.
- Set Agent Role for each applicable user.
- Turn Writeback on or off as needed.
- Use Backfill when you need to run the historical sync action for a user with writeback enabled.
The table also includes informational tooltips that explain:
- Writeback syncs analytics data and compliance scores back to that user's CRM profile.
- Backfill is a manual operation for historical data.

Best practices
- Treat roles as broad access tiers: use role name, description, and score to keep access understandable.
- Manage access through visible controls: create or edit roles in Roles, then assign those roles in Users.
- Clean up unused access promptly: if someone no longer needs access, use the available Delete User action.
- Review assignment controls regularly: confirm Agent Role, Writeback, and Backfill usage for the users you actively manage.
